The position of study group representative (or "group monitor") is a key role within a higher education institution's student self-governance system. The representative acts as a liaison between the dean's office, faculty members, and the students in the group, serving as a coordinator, organizer, and responsible executor. This role demands a high level of responsibility, organizational ability, and communication skills. The university environment offers an ideal setting for developing the managerial competencies essential for future professional life.

1. INITIAL ORGANIZATIONAL STEPS

Upon appointment to the position of study group representative, the primary task is to establish a unified information database for the group. This stage is crucial, as the effectiveness of all subsequent communication—among the representative, students, faculty, and faculty administration—depends on the completeness and accuracy of the collected information.
The representative is responsible for organizing the collection of each student's personal data, specifically:
‒ full name (surname, first name, and patronymic) exactly as it appears in official documents;
‒ mobile phone number;
‒ date of birth;
‒ email address used for official correspondence and notifications;
‒ additional contact information if necessary, such as the phone number of parents or legal guardians.
Naturally, in carrying out these duties, the representative must adhere to legal regulations regarding the protection of personal data.
The resulting database is used to address the following tasks: promptly informing students of schedule changes, rescheduled classes, and new requirements from instructors; interacting with the dean's office and providing information upon the faculty administration's request; organizing the academic process, including compiling group rosters, maintaining records, and coordinating events; and establishing a means of emergency contact to reach the student or their relatives quickly if the need arises. ...as well as organizing celebrations and group activities, which helps foster positive relationships within the student group.
Every week, all group representatives meet with the faculty administration at a gathering known as the *Starostat*. At these meetings, the vice-deans convey important information regarding the upcoming week's events and student participation in them; they also address issues concerning the organization of the academic process, discipline, and active student involvement in faculty life. It is the group representative's duty to relay this information to the students in their group.

2. OBTAINING ENROLLMENT VERIFICATION CERTIFICATES
Once the group's information database has been established, the next step for the group representative is to obtain certificates confirming the students' enrollment at the university. Students may need these documents for submission to their parents' employers, military enlistment offices, social welfare agencies, or other institutions requiring official proof of student status.
These certificates are issued by the dean's office staff; therefore, the group representative must be fully informed about the procedure in advance.
At the Faculty of Mechanical Engineering, certificates are issued in Building 6, Room 311.
The process generally involves submitting a group request listing the students who need the documents, followed by collecting the completed certificates at the scheduled time. The group representative acts as a liaison between the students and the dean's office, centrally collecting requests and forwarding them to the staff; this significantly streamlines paperwork and reduces the administrative burden on the dean's office employees.

3. MAINTAINING ACADEMIC RECORDS

Maintaining academic records is one of the most time-consuming and critical responsibilities of the student group representative. This area of ​​responsibility encompasses a range of tasks related to the preparation, completion, and timely submission of various documents and reporting forms. The quality of record-keeping directly impacts group organization, the accuracy of attendance and academic performance tracking, and ensures there are no issues raised by the dean's office or teaching staff.
3.1. Compiling group lists
At the start of the academic term, the group representative completes initial documents and spreadsheets, including a group list for each instructor. This list is typically prepared in a spreadsheet format (e.g., Excel) and contains students' full names in alphabetical order, along with any additional information the instructor needs to work with the group. The document is provided to each instructor at the beginning of the semester and updated as necessary.


3.2. Maintaining the paper attendance log
After each class session, the group representative fills out the paper attendance log, recording the following information: the lesson topic, the class number, the date, and student attendance or absence status.
